Here are some answers to the most frequently asked questions from people using COHO.
Navigate to the bottom of the property page and use the Deactivate Property link in the Property Details panel.
Navigate to the bottom of the room/tenancy page and use the Deactivate Room link in the Room Details panel.
Simply deactivate all of your properties and you will not be charged once your current subscription period has ended, if you are a monthly subscriber this will be the end of the month, if you are on an annual contract this will be at the end of the contract period.
Navigate to the room page for the tenancy. In the Active Tenancy panel, use Set Tenancy End
This is likely due to not updating the rent schedule when moving the tenant out. Search for the tenant in your account and then navigate to the Rent Collection panel for the tenancy. You can then edit or remove rent due items.
We do not currently provide an eSignature route for the deposit or inventory documents. However, this can be served to the tenant via the COHO Message Centre if required and tenants can be asked for confirmation of receiving the information.
No, COHO does not push automatic reminders out to tenants for rent due or rent overdues. However, you can customise your own credit control processes to automate these processes when rent is due and when you have confirmed that rent is due.
Unassigned payments occur in COHO when a payment has been logged but not assigned to a specific rent due record. Navigate to the tenancy which has an unassigned payment, open the Rent Collection panel and assign the currently unassigned payment to a rent due record.
Yes. Navigate to the Users panel on your main organisation page. There you can Change Role for team members.
Navigate to the Users panel on your main organisation page. From there use Invite New User and complete the relevant fields to send an invitation.
You can manage how you receive your system generated messages and notifications from COHO by navigating to your profile in the header menu at the top right of any page. From the drop down menu, select Settings and scroll down to Subscriptions to set your preferences for each type as an individual user within your company account.
Navigate to a property, select the relevant compliance category e.g., Gas Safety. Click on the settings icon on the top right hand corner of the panel, in the pop-up screen, select the number of weeks before the expiry date you would like the system to generate a renewal action. Changing the setting for one property will update this particular service for all properties.
Simple. If you do not wish to record the information and track a particular panel in COHO then, navigate to the property, and scroll to the relevant panel. Click on the settings icon in the top right hand corner and turn the configuration to Off. This will remove the panel and stop any actions being generated. You can turn panels back on at any time by navigating to the Active Services area at the very bottom of any property page.
You can change a property address or property details by navigating to the relevant property and scrolling to the Property Details panel at the bottom of the page.
A new onboarding should be used when taking a prospective or brand new tenant through the complete onboarding process. Adding a new tenancy allows you to add a pre-existing tenancy to COHO or a tenant that has NOT gone through the COHO onboarding workflow.
Navigate to your Onboarding panel on your main organisation page. From there use the settings icon on the top right hand corner of the Onboarding panel. Here you can add your templates. For more information about templates and merge fields, click Info icon that is next to the Tenancy Agreement Contract section.
Navigate to the relevant room. In the Tenant Information panel use Add tenant.
Yes. Navigate to the Maintenance panel on your main organisation page and click the settings icon in the top right hand corner of that panel. From there you can choose a category, then an item and add/edit the auto response message.
The easiest way to log a rent payment in COHO is to navigate to the Rent Collection panel on your main organisation page. From there, choose the relevant filtering options to find the specific tenant you wish to record the payment against. You can then View any rent payment due. Use the option to mark the entire rent due as paid, or alternatively log a payment if the rent amount paid or date the payment was made is different to what was expected. If your organisation is using Rent Automation, one should exercise caution manually logging rent payments in order to avoid duplicated payments.
These financial reports can be created using the Finances panel on your main organisation page.
Yes. You can find an iCal link using the settings icon on your Calendar panel. The iCal link provided can then be added to your calendar of choice.
Yes. Whilst you can individually invite tenants in their tenancy page, all tenants can be invited from the Occupancy panel on your main organisation page, using Invite ALL tenants. It is important to have added the email addresses and mobile phone numbers on each tenancy first.
Yes. You can create multiple pre-qualification forms ahead of time using the settings icon on the Tenant Find panel.
Welcome Pack panels in COHO can be used to share all sorts of information with your tenants. You can build welcome packs using information for all tenants, tenants of a specific property and also tenants in a specific room. You can also generate a link and a QR code to a specific property welcome pack for your property noticeboard.
Notes can be added on any Audit Log panel. It's important to note that there are Audit Log panels for the organisation, on every property and on every tenancy.
Rent increases should be entered on the tenancy page that the rent increase is for. Under the Active tenancy information you will see an option to Change Rent.
Yes, but you should only do this for tenants who move in without a designated room or for tenants that have been added to the wrong room. If neither option is the reason for the move, we'd strongly recommend you end the tenancy and issue a new tenancy agreement for a different room. You can move a tenant from one room to another by firstly navigating to the tenancy you wish to make the change for. Under the Active tenancy information you will see an option to Change Room.
If you need to update or change your card details on COHO navigate to the Your Account panel on your main organisation page and you can change the card details there.
